When you run a raffle fundraiser, you will have access to several specific reports. These reports, located under the Raffle Management tab, include:
- Enter Physical Entries
- Manage Raffle Winners
- View Promoters
- View Earned Entry
- View Raffle Entries
You can access these reports by clicking the options shown below in your management menu.
In addition to the reports shown above, organizations can view and export a list of donations and donor information under the View Donations tab.
This article will share the purpose and practical use of each report and what information it contains.
Enter Physical Entries
The report generated when you click “Enter Physical Entries” allows you to access information about entries sold offline. The information contained in this report includes:
- Donor contact information
- Entry start number
- Entry end number
- Donation amount
Many organizations use this report to determine the percentage of total raffle entries from offline physical sales versus online sales.
Manage Raffle Winners
The report generated when you click “Manage Raffle Winners” allows you to access information about who won the raffle. The information contained in this report includes:
- Prize won
- Winning ticket number
- Donors name and email
Many organizations use the information contained in this report to develop a mailing list of raffle winners for prize fulfillment.
View Raffle Entries
Several export options exist depending on your raffle setup. These options are included in the image below:
Export
The report generated when you click “Export” under the “View Raffle Entries” tab allows you to access information about raffle entries purchased per person per transaction. The information contained in this report includes:
- Donor name
- Donor contact information
- Amount of purchase
- Date and time of purchase
- Entry numbers
- Quantity of entries
- Prize (prize-specific raffles only)
- Payment status
- Prize Description
Many organizations use this report while running a mix-and-match experience to answer the question, “How much money did my raffle raise?” Because it provides a fundraising activity specific breakdown of amounts raised, it is easy to see how much money the raffle itself raised.
Export Entries
The report generated when you click “Export Entries” under the “View Raffle Entries” tab allows you to access information about each individual entry purchased. The information contained in this report includes:
- Donor name
- Donor contact information
- Donor email
- Entry number
Many organizations use the information contained in this report to easily conduct manual drawings. Because each entry is listed individually on a single row, it is easy to cut up the list and put names in a hat or to select the winner using a random number generator using the row number assigned to the entry in the excel spreadsheet.
Export Payments* By prize (for prize specific raffles only)
The report generated when you click “Export Payments By Prize” under the “View Raffle Entries” tab allows you to access information about who purchased entries for each prize. The information contained in this report includes:
- Donor’s name and email
- Entry numbers
- Prize name
- Purchase date
Many organizations use this report to determine which prizes were popular and to help them plan for future raffles.
Sharing Rewards
If Sharing Rewards is enabled on a raffle, several additional reports are available.
View Promoters
The report generated when you click “View Promotors” allows you to access information about individuals who have signed up as promotors on your experience. The information contained in this report includes:
- Promoter name
- Date signed up
- Entries earned
- Number of purchases from promotor link
- Amount raised from sharing
Many organizations use the information in this report to add the promotors to a mailing list to share updates or marketing emails.
View Earned Entry
The report generated when you click “View Earned Entry” allows you to access information about the entries people have earned by donors purchasing from their link. Organizations can choose to export promotor entries or donor entries.
The information contained in this report includes:
